Terms Of Access

This Site (‘site’) is owned by Risk Solutions Australia Pty Ltd (t/as WorkPro) ABN 66 113 726 033 (WorkPro).

Use of this site is subject to the following terms and conditions of access (‘Terms of Access’). By accepting and registering on the site you represent that you have read, understood, and accept these Terms of Access.
WorkPro reserves the right to update or revise these Terms of Access. Please check the Terms of Access periodically for changes. Your continued use of this site following the posting of any changes to the Terms of Access indicates your acceptance of those changes.

Upon receipt of a unique Token from an organisation, by completing the WorkPro sign-up/log in process, and entering the unique Token that has been provided to you by the requesting organisation, you understand that a representative of that organisation may be able to view your personal or sensitive information and use this information to complete a subscribed business service on the site. This may include:

  • Viewing and validating eLearning modules that have been completed by you;
  • Viewing and validating your Australian citizenship and if you are non-Australian citizen, check your rights to work in Australia through the integrated service with the Department of Home Affairs (Visa Entitlement Verification Online (VEVO));
  • Process and view the result of a background and probity check if you have completed an application within the site and provided your express and informed consent;
  • View a licence/ticket or document that you have uploaded to your profile;
  • View the result of a medical or drug or alcohol check that you provided consent to and attended an appointment to undertake;
  • Processing and viewing a reference check;
  • View your Covid-19 Vaccination information and Digital Certificate.

Once tasks are completed or you upload documents, some of the information will be securely stored in your personal digital profile.

While each ‘check’ is unique, any pre-populated application, uploaded identity document, and Vaccination Certificate can be re-used or securely shared once you have received the request, entered the Token, and provided informed consent online.

You understand:

  • Only by providing your unique WorkPro Candidate Identification Number (CIN) to any other organisation that is licenced to use the site in the future, that you grant that organisation permission to access and validate some information contained in your site digital profile. This includes eLearning modules completed by you, and licence/ticket or document that you have not deliberately locked or is automatically locked by default by the site once you have uploaded it.
  • If an organisation requires a new background or probity check to be completed and processed, you will need to use the organisastion’s unique Token and provide your express informed consent for every check via electronic or ‘wet’ signature and upload identification and other relevant documentation prior to the check being able to be processed.
  • If an organisation requires your Covid-19 Vaccination Certificate to be uploaded, only that organisation can view the Certificate. Because your Covid-19 Vaccination information and Certificate is classified as sensitive data under the Privacy Act, once uploaded, it is automatically locked and not visible to any other organisation. If another organisation who is licenced to use the site needs to view and verify a copy of your Vaccination certificate, you will need to log in to the site, and enter the unique Token to share the certificate securely and electronically with that organisation via the site.
  • You give permission for the site to send alerts to you to remind you of a process or document that may need to be updated from time to time.

WorkPro may collect personal and sensitive details about you as part of your using the site services. We do this in compliance with the Australian Act and Australian Privacy Principles (APP’s), New Zealand Information Privacy Principles (NZ IPP’s) and General Data Protection Regulation (EU) 2016/679 (“GDPR”) as amended and meet the requirements of the privacy requirements that covers the collection, use and disclosure, and secure management of personal information.

WorkPro staff are trained to work within the legal boundaries of confidentiality and the privacy of individuals. Breaches may result in disciplinary action, dependent upon severity. WorkPro has appointed a Privacy Officer to ensure that the management of your personal information is in accordance with these terms of access and the relevant Privacy Acts.

Protecting your privacy and the confidentiality of your personal information within your WorkPro site profile is fundamental.  All information is stored electronically, all documents are encypted at REST, and the service is password protected.

Our aim is to ensure that any details are securely protected from misuse, loss, and unauthorised access, modification, or disclosure by way of maintaining:

  • Physical security by preventing unauthorised access to our premises
  • Computer network security including password security to prevent unauthorised access
  • Communication security
  • Limiting access to data
  • When the information is no longer needed we will take reasonable steps to destroy or de–identify personal information.

Only by providing your unique site candidate identification number (CIN), will you give an organisation permission to view some of your WorkPro site profile. At all times you can alter, delete, or add some personal information and records.
It is your responsibility to ensure that your WorkPro identification details, including username, password and CIN remain confidential.
How we collect, use, disclose and secure your personal information

WorkPro has been purpose-built to assist employers meet their legal compliance obligations and streamline the recruitment, screening and engagement process for candidates and employees.  Services are designed to ensure the security and protection of your personal information by giving you control over who may access your information. The service is initiated by an organisation (customer). Once you sign-up on the site, you may share your digital profile with another organisation only by expressly providing your unique Candidate Identification Number (CIN) which you are provided upon the completion of the first requested task or by providing express informed consent.

Your information may be used in connection with:

  • Checking and verifying your rights to work in Australia through the Department of Home Affairs Visa Entitlement Verification Online (VEVO)
  • Results of background and probity check results captured through Government Authorised and Regulatory Bodies within Australia and Overseas only if you have provided informed consent
  • View assessment results from learning modules completed
  • View licence/ticket and document information
  • View reference checks
  • View medical check results
  • View and validate Covid-19 Digital Certificate
  • Communication with you
  • Statistical purposes and statutory compliance requirements
  • As part of our security requirements to provide you with telephone and email support.

Regarding, and if applicable, the outcome of an Australian Nationally Coordinated Criminal History Check (NCCHC) which is obtained by WorkPro and provided to the requesting organisation (following your consent) is deemed sensitive and is secured and stored from unauthorised access and destroyed in accordance with the Australian Criminal Intelligence Commission (ACIC) requirements, including ensuring records are only held for a period 12 months. You have the right to request the NCCHC certificate be permanently removed from the site after 90 days. If this request is made, only the result will be stored in accordance with the ACIC requirements for a period of 12 months.

You have the right to correct your personal information at any time if it is inaccurate, incomplete or out of date, and you have the responsibility to ensure that your information remains accurate.


  • make no representation and give no warranty that the operation of will be uninterrupted or error-free
  • to the full extent permitted by the law, are not liable to you for loss of any kind, including damages, costs, interest, loss of profit or special loss or damage arising from your use of the platform that relates to the outcome of the residency status check, nor are we liable to indemnify you against any liability or alleged liability of you to any other person howsoever arising, save only any express condition, warranty, indemnity or term given by us

You acknowledge that: is provided and delivered to you “as is”. To the maximum extent permitted by law:

  1. all express or implied conditions and warranties on our part in relation to any goods or services to be supplied by us or promoted on this web site are hereby excluded; and
  2. subject to clause 3 below, we will not be responsible for or liable to you or any other person in respect of any liabilities, claims, actions, proceedings, demands, expenses, costs, loss, or damage of whatsoever description and however arising which you or any other person may pay, suffer, incur or be liable for, arising directly or indirectly from or in connection with:

(a) the use of by you or any other person;

(b) any failure of to perform in accordance with your expectations or requirements   

  1. nothing in this disclaimer, however, will be interpreted as excluding, limiting, modifying, restricting, or altering any liability of us that exists by operation of law and which cannot be excluded, limited, modified, restricted, or altered. To the extent that the provisions of this disclaimer are otherwise inconsistent with any such law, such provisions will be read and interpreted as being subject to any such law.

You must indemnify WorkPro and each of its officers, employees, contractors and agents against all damage, losses, liabilities, claims, expenses, and costs (including without limitation legal costs on a full indemnity basis) however arising which any of them may pay, suffer, incur, or otherwise be liable for, arising directly or indirectly as a result of or in connection with any of the following:

  1. failure by you to ensure information provided by you is accurate and lawful
  2. that any eLearning assigned to you will be completed by you within WorkPro and not completed by anyone else on your behalf (you warrant that you have undertaken the learning independently and that should it be identified that this is not the case that you will subject yourself to the full force of the law for breach and fraud)
  3. any negligent act or failure to act by you
  4. any claim, suit or other action made or brought against WorkPro or any of its officers, employees, contractors, or agents (at common law, in equity or under statute or otherwise) by any person (including an insurer), arising directly or indirectly from or in connection with any person who suffers personal injury or death or any loss or damage including property damage directly or indirectly in connection with any of the matters referred to in paragraphs (1) to (3) above

General Rights

You have access to your own personal information held on the site, and you can update, edit or request to have your profile deleted at any time.

If your profile is deleted as a user of the WorkPro service, it does not automatically entitle you to have all your personal information permanently deleted from the WorkPro system. Some personal or sensitive information may continue to be used, disclosed, or otherwise processed for a lawful purpose including meeting WorkPro’s and Customer’s retention and mandatory reporting obligations.
